Meeting Design and Facilitation

DESIGNING AND LEADING MEETINGS
1. Establish Goals of the Meeting.
My client and I establish the intended outcome of the meeting. We discuss the issues facing the group and the people who will be attending the session.
2. Assessment Interviews with Meeting Attendees.
I make phone contact with those who will attend the meeting. These calls accomplish two goals:
- I gather information that might indicate a need to adjust the agenda and intended goals of the session.
- The conversations enable me to start establishing rapport with the group before the meeting.
3. Review findings with my client.
This might include a revision or expansion of the agenda. We agree on the flow of topics and finalize the agenda.
4. My guidelines for leading meetings.
During the meetings, I am committed to accomplishing the following objectives:
- Bring every agenda item up for discussion.
- If other issues emerge during the meeting, confer with my client to determine if an adjustment of the agenda is appropriate.
- Create broad participation by the those attending the meeting.
- Strike a balance between discussion, action planning, and keeping things moving so that the entire agenda gets managed.
- I record all major discussion points and action items and convert them into a document for distribution for those in attendance. This relieves meeting attendees of the responsibility of documenting the meeting, allowing them to focus on the flow of the conversation.
